What you’ll do:
The successful candidate is an administrative professional ready to take the next big step in their career. As part of the Corporate (Group) administrative team, working out of the Edmonton office, the primary function of this role is to provide support to the Corporate Secretary and the administrative function within Corporate (Group). This role is designed with succession to the Corporate Secretary role in mind. This is an exciting opportunity for a detailed and driven administrative professional who is passionate about delivering high quality work while also having a desire to develop their skills.
Responsibilities will include:
- Perform tasks of a highly confidential nature and ensure confidentiality thereof.
- Act as representative of the Company in direct contact with the public and government agencies, clients, and consultants dealing with the Company, and subsidiary and affiliated company offices.
- Organize, send meeting invites and take minutes for internal company meetings.
- Perform electronic cheque deposits, generate bank deposit reports and prepare manual cheque deposits.
- Prepare annual list of service award recipients for distribution, coordinate service awards inventory and liaise with service award suppliers.
- Coordinate pick-up, delivery and maintain records for off-site document storage.
- Assist with filing and archiving CEO and Finance files.
- Compose and proofread correspondence.
- High level review of agreements for accuracy, completeness and arranging for execution. Prepare and issue credit applications.
- Process and route daily incoming and outgoing mail; arrange for courier deliveries.
- Maintain travel and accommodations page for company intranet.
- Maintain, organize, and request inventory of office supplies, equipment and administer kitchen operations.
- Act as the primary Fire Warden for the Corporate Office and track and maintain Corporate office staff attendance in the event of an emergency.
- Perform other duties as assigned by the Corporate Secretary.
Does this sound like you?
Candidates should have the following qualifications, technical skills / experience, to be considered for this position:
- Minimum 8 years’ experience working in a fast-paced, corporate office environment with minimal supervision.
- Post-secondary education in an administration program from an accredited university or college, or equivalent experience and training.
- Experience in corporate governance and/or knowledge of legal corporate business requirements
- Experience using company templates.
- Intermediate minute taking skills, including preparation of agendas.
- Intermediate to advanced abilities in MS 365 Office suite (Word, Outlook, Excel).
- Experience with Diligent Boards and PDF XChange.
- Strong verbal and written communication and interpersonal skills, including the ability to assess implications of proposed actions and respond appropriately.
- Flexible, collaborative mindset and willingness to tackle projects outside areas of prior experience.
- A self-initiating mindset, that is organized and able to prioritize and handle multiple initiatives simultaneously.
- Excellent customer centric skills who is approachable and has a friendly demeanor.
